HOW FOLLOW-UP ADAPTS TO REPLIES
Any reply stops the automated sequence for that person. What happens next depends on the reply.
Useful resources. Offering something genuinely useful, such as a short guide or checklist, often earns more replies than a meeting request alone. We use a resource you already have, or create one as an agreed part of the scope.
Definitions
How we count qualified meetings
We report two numbers separately, so you always see both what was booked and what actually took place.
NUMBER 1
Qualified meetings booked
Counted when all four criteria are met:
- 01 Agreed target company. The organization is on the target list you approved.
- 02 Relevant decision-maker. The person holds a role you agreed can buy or influence the purchase.
- 03 Expressed interest. They have replied with genuine interest in your service, not just curiosity.
- 04 Accepted meeting. They have accepted a specific meeting time with your team.
NUMBER 2
Qualified meetings held
A booked qualified meeting counts as held when it takes place with that decision-maker. This is the number that reflects real sales opportunities.
Counting rules
- No-shows
- Counted as booked, not held. We contact them to offer a new time, and a rebooked meeting that takes place counts as held once.
- Rescheduled meetings
- Counted once as booked, however many times the time changes.
- Unsuitable meetings
- If your team confirms a meeting did not meet the criteria, such as the wrong role or no genuine interest, it is removed from both numbers and reported with the reason.
- One count per decision-maker
- Each decision-maker counts once per campaign, however many follow-up meetings take place.

What counts as a qualified meeting?
We report two numbers separately. A qualified meeting booked is one with a decision-maker at a company on your approved target list who has expressed genuine interest in your service and accepted a meeting time. A qualified meeting held is a booked qualified meeting that takes place with that decision-maker. No-shows count as booked but not held.
How quickly will we see conversations?
Setup includes building the list and warming new sending domains before they run at full volume. After launch, results depend on your market, your offer and the list, and we review them with you regularly.
Do you guarantee a number of meetings?
We do not promise numbers before we understand your market. We commit to a defined scope, transparent reporting against clear definitions of qualified meetings booked and held, and continuous refinement.
Will this affect our email reputation?
Separate sending domains and warmed inboxes help reduce risk to your main domain. No method removes deliverability risk entirely, so we monitor sending health and adjust volume when needed.
