Short answer
A qualified meeting is a meeting that a relevant decision-maker at an agreed target company has accepted for a specific time, after expressing genuine interest in your service. All four conditions must be true. A reply, a request for information or a meeting with the wrong person does not count.
Just as important, report two numbers separately: meetings booked and meetings held. Only a held meeting is a real sales opportunity.
Why the definition matters
"Qualified meeting" is the most common promise in outbound lead generation, and one of the least consistently defined. One provider counts any positive reply. Another counts a calendar invite, whether or not anyone attends. A third counts a call with whoever answered, regardless of role.
Each of those numbers can look healthy while your pipeline stays empty. Agreeing the definition in writing, before a campaign starts, is the single most effective way to make lead generation results comparable, honest and useful.
The four criteria
- Agreed target company. The organization is on the target list you approved. A meeting with a company outside your ideal customer profile is not qualified, however enthusiastic the contact.
- Relevant decision-maker. The person holds a role you agreed can buy or influence the purchase. Agree these roles by title and function at the start, for example "Head of Learning and Development or above" rather than "anyone in HR".
- Expressed interest. They have replied with genuine interest in your service, not just curiosity or politeness. "Send me some information" is a lead to nurture, not a qualified meeting.
- Accepted meeting. They have accepted a specific meeting time with your team. An intention to "talk next quarter" is not yet a meeting.
Booked versus held
A meeting is booked when all four criteria are met. It is held when it actually takes place with that decision-maker. Reporting both shows you where the process is working and where it is leaking: a large gap between booked and held usually points to weak confirmation, poor timing or contacts who were never truly interested.
Counting rules worth agreeing up front

Three examples
Example 1. A training firm's campaign reaches the Head of Learning and Development at an approved target company. She replies that leadership development is a priority this year and accepts Tuesday at 2pm. The meeting takes place. Counted as booked and held.
Example 2. The Director of HR at an approved company accepts a meeting, then does not attend. She is offered a new time, accepts, and the meeting takes place the following week. Counted once as booked and once as held.
Example 3. An office administrator at an approved company books a call to "pass information on" to the leadership team. The agreed decision-maker roles do not include office administration. Not qualified. If it was booked, it is removed and reported with the reason.

- The decision-maker roles that count, by title and function
- What counts as genuine interest, with examples of replies that do and do not qualify
- The counting rules above, and who on your team confirms whether a meeting was suitable
- How quickly your team will give feedback on each meeting
